The post requires a responsible and dynamic person to manage the day to day Administration and Finance of the Jamaat. The incumbent shall also be required to manage the Finance and to monitor closely the activities of the Jaffery Charitable Medical Services (JCMS), the Dispensary which is operating under the Medical Board of the Jamaat.

JOB PROFILE

 

Finance and Administration Officer Position

 

Job Title:  Finance and Administration Officer

Reports to: Chairman/Hon. Secretary of Jamaat

Job Location: Moshi

 

Purpose of the job:

The Finance and Administration Officer for Moshi Jamaat Office is a senior position. He provides high-level support by carrying out variety of finance and administrative activities of Jamaat and its Boards with minimum supervision. He should be able to handle sensitive information in a professional and confidential manner. He should possess excellent interpersonal skills to be able to work closely with Office Bearers, Boards Chairmen and Jamaat members.

 

Main Job Tasks and Responsibilities:

1.    Setup office work procedures and operating systems, collate information and maintain database and office filing systems.

2.    Perform general office duties, such as correspondence, maintaining records and inventories. Liaison with internal and external contacts.

3.    Prepare and maintain records of Tenancy Agreements, collecting and following up outstanding rents. Maintain constant contact with the Tenants.

4.    Coordinate with contractors and supervise repairs and maintenance of all Jamaat properties.

5.    Supervise Jamaat employees; prepare payroll and pay their wages and statutory deduction payments.

6.    Payment of utilities, taxes, land rent, VAT, bills, cash disbursements etc. within the delegated authority.

7.    Collection of all Jamaat dues, issuing of receipts and banking of funds.

8.    Monitor closely the activities of Jaffery Charitable Medical Services (JCMS) including conducting internal audit.

9.    Maintain up-to-date accounts of Jamaat and JCMS. Prepare monthly management report and accompanying schedules. Maintain up to-date Asset Register of the Institution.

10. Establish and maintain internal control and management information systems.

11. Respond to Auditors/Statutory queries in timely manner to satisfaction.

12. Prepare all statutory and tax returns and file within the required deadline. Adherence to policies and procedures and keep current all legal requirements.

13. Perform additional functions incidental to office/finance activities.

 

Education and Qualifications:

'A' Level education / ACCA holder or equivalent.

Persons with less qualifications but more experience may also apply.

 

Experience

At least two years in administration/accounting position.

 

General Skills and Attributes:

 

Familiar with MS Excel and Tally or QuickBooks Software Accounting Package.

Strong analytical skills.

Excellent verbal, written communication and organizational skills.

Ability to organize and meet deadlines of job assignments.
